How HOA board members can securely share camera access

Shared credentials make it difficult to know who viewed, changed, or exported video. HOA and community systems are safer when access follows defined roles, individual accounts, and a documented process for requests and departures.

Create roles before accounts

The board, community manager, security staff, installer, and temporary investigator may need different capabilities. Define the minimum access each role requires, then assign named accounts instead of distributing an administrator password.

Control viewing and exports

Establish when live or recorded video may be reviewed, who authorizes an export, how requests are logged, and how files are transferred. Sensitive footage should not be forwarded through personal accounts or consumer messaging without an approved process.

Review and revoke

Maintain an access register and review it on a schedule. Disable accounts promptly when board members, managers, staff, or vendors no longer need access, and rotate recovery contacts or service credentials when responsibility changes.
